What are People without accounts?
People without accounts allow Organizers to set up Participant profiles that will be displayed on the Event, without giving the Participants access to the platform.
One use case would be: if you have a Speaker that will not need an account to log in, but you still want them to have a profile to be displayed on your Speakers page.
Because Participants who have Profiles without accounts do not have access to the platform, and thus your Event, they will not be able to use any of the platform's functionalities. In other words, emails from the Email Manager will not be sent to them; they will not be able to schedule and participate in Meetings, nor will they be able to interact with other Attendees.
How to create People without accounts
To create People without accounts, go to Studio → Content → People and click on Create people. Once there, you will have three options:
1. If you're importing People via a third-party Registration solution
At Registration level, it is not possible to create People without accounts for those who are registered via a third-party Registration tool. This is because when someone registers for the Event via a third party, it is mandatory that they provide an email address, and if there is an email address attached to the Participant, they will automatically be imported into Swapcard as a Profile with an account. It is however possible to change their status after the import, by following the steps in 3.
2. If you're importing People via Excel file
Locate the column in the import sheet named Profile with Account, and enter Yes or No as cell values, as shown below:
3. If you're creating People one by one
Because "Email address" is a mandatory field, Participants created one by one will, by default, be People with accounts.
However, their profile with account can be transformed into one without an account. To do this, go to Content → People → Select the Participant that you wish to transform into a Profile without account → Settings tab
There, scroll down to the bottom and click on Transform to a person without account.
Important consideration when changing email addresses
If someone is switched from With an account to Without an account for the purpose of updating their email address (because they have left their previous company or the company domain has changed), note that they will lose access to their old contacts and messages as a new account will be created in the process.
Instead, it is advised that those who need to change their email address add their new email address as a secondary email address on their profile, which can then be switched to their primary email address.
For this, they should go to their profile' Settings (https://app.swapcard.com/settings) and add a new email address under the Email addresses section. Once the new email address is confirmed, they will be able to use it to log in, and they can turn the secondary email address into their primary to receive future emails.
