Our Email Manager allows organizers to execute comprehensive communication to boost participant engagement and ensure the success of any event.
What can you do in the email manager?
Creating reusable email templates helps save time and ensures consistency across your communications. Templates can be used to send professional, branded emails without starting from scratch every time, allowing you to focus on customizing the content for each event stage.
You can set up automated campaigns based on participant status or group. For example, an email can be automatically triggered for participants who have registered but have yet to log in to the platform, encouraging them to explore event content. Follow-up emails can also be sent to maintain interest after the event, helping build long-term engagement.
Define a default header image
This header image is displayed by default in all emails, but you can edit it in each email.
What are the different types of emails?
The Email Manager, which can be found in the Studio under Event → Communications → Emails plays a crucial role in an Event's communication strategy.
With an effective strategy in place, Organizers will be able to leverage the capabilities of the Email Manager to set up their audience for success, by providing them with timely and useful content to enable them to register, network, and navigate the Event.
From the Email Manager, Organizers are able to manage two types of emails:
Continuous email: Once the email is enabled, each new registrant receives it instantly.
One-time email
One-time email are essential to onboard and activate Participants before an Event. For example, for Participants who have signed up but haven't performed any action in the app. This email are also useful to thank your participant after the event.
In addition to these, which are owned by the Organizer, Swapcard may send additional emails to Participants. These are not listed, and therefore can't be controlled through the Email Manager. For more details, please review List of emails sent by Swapcard
Understanding emails analytics
Once you have set up your emails campaigns and sent your emails, you can check how many were sent but also opened.
If you don't see any data it means no email was sent.
Managing multilingual email Campaigns
For multilingual Events, automatic Emails are sent in the Event's default language – the one picked under Event builder → General information → Languages.
For Organizers willing to submit custom emails in different languages, participants language will need to be stored in a custom field, in order to use this field in the target of email campaigns.
