Introduction

Effective communication is key to a successful event, and Swapcard's automatic emails are designed to keep attendees informed, engaged, and connected throughout the event lifecycle. These emails, also known as "transactional emails", are sent automatically based on certain triggers, such as password reset, session reminders, and networking opportunities, ensuring that attendees receive timely and relevant information without any manual effort from event organizers.

Which emails are sent to all users?

Requests reminder

Email sent after at least one request has been received and remained unanswered in the last 4 hours. If there are multiple requests, these will be grouped per event within the same email. The email will include all answered requests for said event, separated into two categories (1 - Meetings, 2- Connections). Participants have the ability to disable it from their Settings (via Event Web App).

Activities reminder

All activities unseen in the last 4 hours for the same event, sorted by date (more recent first). Participants have the ability to disable it from their Settings (via Event Web App).

  • New Meeting

  • Meeting request declined

  • Exhibitor Meeting request received

  • Meeting canceled

  • New connection

Meeting confirmed reminder

This email is sent 15 minutes before a confirmed Meeting when the Meeting Location is not Virtual, and 5 minutes before if Meeting Location is Virtual. Participants have the ability to disable it from their Settings (via Event Web App).

Magic link

This email is sent when the organizer decides to send a magic link to a specific person. Learn more here about sending magic link to a participant from Studio.

One-time code (OTP)

This email is sent when a user tries to log in and doesn’t have a password.

Confirmation email

This email is sent when a user adds a Secondary Email to his account in order to confirm that the email address belongs to them.

Team member invitation

This email is sent when a user has been added to a team by an Exhibitor member.

Others emails sent to Organizers only

Smart meeting generator meetings drafts

This email is sent when Smart Meeting Generator completes your draft meetings, waiting for you to review them.

Sign-up email

Organization invitation

This email is sent when a user is added to an Organization.


What languages are available for automatic emails?

Transactional emails are sent in the user’s language if available (among the list below), if not in English.

Automatic email properties

Link expiration

All buttons in automatic emails contain a token that allows users to log in instantly. These tokens are valid for 72 hours, except in magic-link emails for password resets, which expire after 3 hours. Once the password is set or reset, the tokens are immediately invalidated, logging out all active sessions. If a token has expired, the link will still work, but the user will need to log in manually.

Customization

While you can't change the wording or frequency of automatic emails, the top image banner and button color will be customized to match your event's branding settings.
