Managing group sign-ups has always meant extra back-and-forth: multiple registrations, multiple payments, and a lot of coordination. Group Registration changes that. With this feature, one person can register and pay for an entire group in a single order, while each attendee still gets their own registration record and can be managed individually in Studio. It's designed for the events where group attendance is the norm: corporate teams, associations, training cohorts, and delegations.
💎 This feature is a paid add-on.
Group Registration is part of the Advanced In-App Registration add-on. Contact your Swapcard account manager to enable it for your event.
Enable Group Registration on your tickets
Once Group Registration is enabled for your event, you can configure which tickets support it.
In Studio, go to Registration > Tickets.
Open an existing ticket or create a new one.
Enable the Group Registration option on the ticket.
Set the minimum and maximum number of tickets that can be purchased in a single group order.
💡 Only tickets configured as Group Registration tickets can be included in a group order. Standard tickets are not affected.
How the buyer experience works
When a buyer selects a Group Registration ticket on the registration form:
They choose the number of tickets they need (within your defined min/max range).
They fill in the registration details for each attendee individually — including first name, last name, and email address.
Any additional registration questions you've configured appear per attendee. Existing conditional logic continues to work, and each attendee's answers affect only their own form.
Billing details auto-fill from the first attendee entered — but the buyer can update the primary contact before paying.
A single payment covers the entire group. One invoice is generated and sent to the billing email once payment clears.
Even though attendees are registered together, each person gets their own individual registration record. This means:
Each attendee is treated as a separate participant in Studio.
Each attendee's form responses are stored independently.
Individual management is fully available after registration (see below).
Manage group registrations in Studio
Although attendees are purchased in a single order, you can manage each one separately in Studio.
From the People tab, you can:
View all attendees included in a group registration
Open individual attendee profiles
Cancel a single registration without affecting the rest of the group
Refund a specific attendee
Approve or reject moderated registrations — note that approval or rejection applies to all participants in the group
Edge cases and smart safeguards
⚠️ Moderated tickets: Group Registration supports moderated tickets, but moderated and non-moderated tickets cannot be mixed in the same group order.
💡 Paid moderated registrations: When a moderated group registration is approved, a payment link is automatically sent to the main contact. You can resend it from Studio at any time while payment is outstanding.
💡 Promo codes: One promo code is allowed per group order. If the code is only valid for some tickets, the discount applies automatically to the eligible ones.
Important notes
Group Registration is available exclusively as part of the Advanced In-App Registration add-on. Reach out to your account manager to enable it.
Minimum and maximum ticket quantities per group order are set at the ticket level by the organizer.
A single invoice is issued per group order — individual invoices per attendee are not supported.
Approval or rejection of a moderated group registration affects all participants in that order.
Group Registration removes the friction from multi-attendee sign-ups — for your buyers and for your team. One payment covers the whole group, per-attendee forms capture exactly the data you need, and Studio gives you full control over individual registrations after the fact. Whether you're running a corporate summit or a training programme, your group attendees can now get in as easily as everyone else.
