Setting Up a ClearVantage AMS by Euclid Integration in Your Event

This page contains the setup guide and reference information for the ClearVantage AMS by Euclid integration.

ClearVantage is an association management system (AMS) by Euclid Technology, used by professional associations and trade organizations to manage memberships, events, and event registrations.

Prerequisites

  • An active ClearVantage account with the API service enabled

  • Your ClearVantage server base URL — the origin of your CVWEB installation (e.g., https://member.your-organization.org)

  • A Client ID and Client Secret provided by Euclid Technology

  • At least one event configured in ClearVantage with registrants

Setup guide

Step 1: Set up the ClearVantage integration in Swapcard

  1. Navigate to your Event page within the Communities section.

  2. In the left navigation bar, select Integrations, then API connectors.

  3. On the integration selection page, choose ClearVantage AMS by Euclid from the list of integrations.

  4. To activate the integration, you will need three parameters:

    1. Base URL — the origin of your ClearVantage server, including https:// and nothing more (e.g., https://member.your-organization.org)

    2. Client ID — supplied by Euclid Technology

    3. Client Secret — supplied by Euclid Technology

  5. Select the ClearVantage event you want to sync from the list of available events.

  6. Enable the objects you want to sync — Attendees and/or Functions — and configure field mappings, choosing which provider fields map to which Swapcard fields or custom fields.

Your ClearVantage event has been successfully linked with your Swapcard event.

You have the flexibility to adjust your integration settings according to the specific data requirements. It's crucial to highlight that the synchronization will only begin when you manually start the integration process and finish the necessary mapping.

The Base URL must be an origin only — it must use https:// and must not include a path, query string or fragment. For example, https://member.your-organization.org is valid, while https://member.your-organization.org/cvapi is not. The integration adds the /cvapi path itself.

The list of events is retrieved from the GET /cvapi/eventlistall endpoint, which returns your organization's events for the current year. Events missing an event code, a title, or a start or end date and time are not listed. When you confirm your choice, the integration checks that the event exists through the GET /cvapi/eventinfo/{eventcd} endpoint, where eventcd is the code of the selected event.

Supported sync modes

The ClearVantage integration supports the following sync modes:

Feature

Supported?

Yes

The ClearVantage integration does not support incremental sync. All registrants and functions are fetched on every sync run.

Supported streams

This integration supports the following ClearVantage streams:

  • Attendees — registrants for the selected event (imported as Swapcard people), retrieved from the GET /cvapi/eventAttendees/{eventcd} endpoint.

  • Functions — sub-events within the selected event (imported as Swapcard sessions), retrieved from the GET /cvapi/eventFunctions/{eventcd} endpoint.

The two streams can be enabled independently. When both are enabled, Functions are synced first so that attendees can be linked to the sessions they registered for. Attendees are linked to sessions only when both streams are enabled.

Capturing deleted records

The ClearVantage integration does NOT capture deletions for records. When a record is deleted on ClearVantage, it needs to be MANUALLY deleted on Swapcard accordingly.

Stream Dependencies

The integration uses the following ClearVantage identifiers as primary identifiers:

Stream

ClearVantage identifier

Client ID format

Attendees

CUSTOMERCD

CV-{CUSTOMERCD}

Functions

FUNCTIONCD

CV-{FUNCTIONCD}

These linked records are stored within the Client Id field on the People and Session records on the Swapcard side.

Session registrations

When both the Attendees and Functions streams are enabled, attendees are additionally linked to the functions they registered for, so their personal agenda in Swapcard reflects their ClearVantage registrations. If only one of the two streams is enabled, no session registrations are created.

This linking runs during the Attendees sync, after the Functions sync. For each ClearVantage function that exists as a session in Swapcard, the registered attendees are retrieved from the GET /cvapi/functionAttendees/{eventcd}/{functioncd} endpoint, where functioncd is the function's FUNCTIONCD, and matched to Swapcard people by CUSTOMERCD.

Existing session registrations are never removed by the integration.

Start Date Time and End Date Time are not stored as single fields in ClearVantage. The integration builds them by combining the separate start date and start time fields (and the corresponding end fields) returned by the API.

Limitations & Troubleshooting

Connector limitations

Functions without a schedule

ClearVantage functions are used for more than scheduled sessions which might have no dates or times.

Functions are only imported as Swapcard sessions when they have a complete start and end — both a date and a time for each. Functions missing any of these are skipped, because a Swapcard session cannot be created without a start and end.

Time zones

The ClearVantage API returns dates and times without any time zone information. The integration imports them exactly as they appear in ClearVantage, without conversion. Ensure the times configured in ClearVantage are the times you want displayed to attendees.

Enhancement

Please be aware that any enhancements to this integration, which encompass any requirements not covered by the existing integration state, will be subject to custom development processes and associated costs.
