How to generate and utilize QR codes for exhibitor booths to enhance attendee engagement and streamline interactions at physical events.

QR codes are a powerful tool for increasing engagement between exhibitors and attendees at physical events. By placing QR codes at their booths, exhibitors can provide a seamless way for visitors to access their virtual profiles, start conversations, and request meetings directly from their mobile devices. This guide explains the benefits of QR codes for exhibitor booths and provides step-by-step instructions for organizers on how to generate and customize these codes.

Understanding QR codes for Exhibitor Booths

With physical events, giving Exhibitors the ability to have a QR code at their Physical Booth has the effect of increasing the engagement of Participants with Exhibitors.

As Swapcard provides a built-in QR code management and scanning feature, Exhibitors can place QR codes on their Physical Booth that on-site visitors can scan using their native phone camera app, the Swapcard App or Branded App scan feature, or any other QR code scanner. Scanning those QRs redirects to the Exhibitor Virtual Booth within the Swapcard App or Branded App (or in the mobile web app when no app has been installed by the on-site visitor).

There, visitors can check the Company details of the Exhibitor they just scanned, start a chat, or ask for a Meeting. Plus, the Company will be automatically listed under My Event → My bookmarked companies.

Exhibitors and Organizers, through their own Analytics reports (in the Exhibitor Center and in the Studio, respectively), have access to the information related to QR code scanning (refreshed every ~5 mins)

How to generate QR codes

Exhibitors can generate their own QR codes (see how here), however, this article focuses on the steps for Organizers within the Studio.

  1. In cell C2, insert the Event URL by copying it from the Event App. Make sure to add ‘/’ at the end

  2. Go to the Studio, select the Event, and go to Content → Exhibitors, and click Export in the top right section to export Exhibitors.

  3. From the exported spreadsheet, copy the content of the Exhibitor name and Internal id columns and paste them into the spreadsheet template mentioned in step 1.

  4. You now have QR codes generated for each listed Exhibitor in Column E – make sure to test them!

  5. Download codes in the required format from columns F (.PNG) or G (.SVG)

If you want to "brand" QRs, you can do so by changing their, color, background, size, and margin around it using third-party tools. If that's of interest, the .SVG format is recommended. Make sure to keep enough contrast between the background and the actual code to guarantee readability.


Generating QR codes for exhibitor booths is a simple yet impactful way to enhance engagement at physical events. By providing quick access to virtual profiles, exhibitors can connect with attendees in meaningful ways, driving interaction and maximizing their event ROI. Proper setup, customization, and regular analysis of QR code usage can significantly boost the exhibitor and attendee experience.
