How to create and manage exhibitors' settings

Managing exhibitor settings in Swapcard allows you to add more value to exhibitors' profiles, improve communication, and control data accessibility. By customizing the Exhibitor Center’s welcome message and setting report conditions, you can enhance the exhibitor experience and ensure that data management aligns with your event’s needs.

How can I edit the Exhibitor Center’s welcome message?

Customizing the welcome message in the Exhibitor Center is a great way to provide exhibitors with important information, event updates, and personalized messages that can improve their experience. Here’s how to edit the welcome message:

  1. Access Exhibitor Settings:

    • Go to the Studio.

    • Navigate to Content > Exhibitors and click on Exhibitor Settings in the top right corner.

  2. Edit the Welcome Message:

    • Go to the Home Message tab (third tab).

    • Modify the default message to suit your event’s needs. You can create different messages for each exhibitor group if you have multiple exhibitor types.

This message is an opportunity to remind your exhibitors about important information and dates related to your event.

A well-crafted welcome message helps exhibitors stay informed, organized, and engaged, making their event participation smoother and more valuable.

Here is a non-exhaustive list of information that you can share via the exhibitors' welcome message:

  • Event dates: Remind exhibitors of important event timelines.

  • Deadlines: Highlight any deadlines related to booth setup, submissions, or other requirements.

  • Contact points: Provide contact details, such as email addresses or phone numbers, for support.

  • Accommodation and access advice: Offer tips on accommodations and access conditions during event setup days and D-Day.


How to manage leads from Exhibitor reports using custom fields and terms

You can set up a report condition, based on people Custom Fields and/or Terms, to exclude leads from the reports exhibitors can download on their end. For instance, it can be used to further monetize access to Leads.

Here’s how to set up exclusions:

  • Go to the Studio, and navigate to Content ➡️ Exhibitors ➡️ Exhibitor Settings ➡️ Report Condition

  • Click on the Add Condition button and select the custom fields or terms that should be used to exclude data from exhibitor reports.

For example, you can exclude leads who have not provided consent to be contacted.

How do I enable similar exhibitor recommendations?

Displaying similar exhibitors is a feature that uses AI to enhance networking opportunities and increase exhibitor visibility by showcasing related exhibitors directly on their pages. Here's how to set it up:

  • Navigate to Content > Exhibitors > Exhibitor Settings.

  • Display Similar Exhibitors for the Community: When enabled, a list of similar exhibitors generated by AI will appear on each exhibitor’s page across the entire community.

  • Display Similar Exhibitors for This Event: When enabled, a list of similar exhibitors generated by AI will be displayed specifically for each event.

Enabling similar exhibitor recommendations helps attendees discover new exhibitors that match their interests, increases exhibitor visibility, and fosters more meaningful connections within the event community.
