Introduction

Swapcard simplifies payment management for event organizers by offering efficient tools to request payments, track transactions, and process refunds. From collecting unpaid balances to monitoring the status of registrations in real time, Swapcard ensures that the financial side of event management is seamless. The platform also provides detailed payment information, including charges, taxes, and balance due, allowing organizers to stay on top of all attendee transactions. Whether processing payments or issuing refunds, Swapcard enhances accuracy and operational efficiency in event management.

How to request a payment from registrations

You can send payment requests directly from Swapcard Studio to collect unpaid balances. This streamlined process allows registrants to complete their payments efficiently while helping organizers manage registration balances seamlessly.

  • In the registration view, if the status shows a balance due, a Send payment request button will appear.

  • Click the button to automatically send an email to the registrant containing a payment link.

  • The registrant clicks the link, inputs their credit card details, and pays the remaining balance.

  • Once processed, the status in Studio will update from the balance due to the amount paid.

How to track payment status on Swapcard Registration

The tracking payment status within the platform significantly streamlines the management process.

You can have real-time updates based on various actions such as payments, ticket additions, changes, and cancellations contribute to the accuracy of the payment status information.

You can do it by filtering the People list like displayed below to have a global visibility.

You can also individually track it by entering an Attendee profile settings under the "Registration" tab.

Within the payments section, the following details can be viewed and analysed:

  • Charges: summary of registration charges

  • Taxes: a summary of applicable taxes, including rate

  • Payment: summary of card details used to make the payment, including last four digits of the card

  • Credit: summary of card details used to issue a credit, including last four digits of the card

  • Balance due: display the calculated balance due prominently

You can also seamlessly access detailed payment information on the Stripe platform with a single click on the provided link.


How to refund attendees via Studio

With refund processing via Studio you can improve operational efficiency, customer satisfaction, and security, making it a valuable feature for organizers and users alike.

To refund registered attendees, follow this process:

  1. Log into the Studio.

  2. Go into the Content menu and select People.

  3. Click on the attendee you with to refund.

  4. Under Registration, you will see all their registration details, including any information made regarding a purchase under Transactions.

5. Click on Refund to start processing either a full refund or a partial refund.

If there were multiple transactions, you will have the option to choose which transaction you wish to refund.
