Integrating a Floor Plan with ExpoFP

This article outlines how to integrate an interactive floor plan into your event using ExpoFP, a preferred solution for enhancing attendee navigation, engagement, and event monetization.

ExpoFP provides seamless integration across the event app's Web, iOS, and Android applications. This platform ensures an easy setup and smooth navigation experience for event attendees.

ℹ️ Before adding an ExpoFP floor plan to your event, ensure that the Interactive Floor Plan add-on is included in your contract. If it isn't, contact the provider for details on pricing and setup. You'll also need to have a CAD file (.dwg) of your floor plan ready.


How to add an ExpoFP Floor Plan

  1. Log into your Studio account.

  2. Navigate to the Event Builder menu.

  3. Click on Create Page.

  4. Select Floor plan.

  5. Define the button's name, color, and background, which will redirect users to your floor plan, as for any page you add into your event menu.

  6. Choose your provider (ExpoFP) and enter the required information to link your floor plan to the event:

    • For ExpoFP: Venue URL.

NB: As for any pages of your event, you are able to define which group can see or not your floor plan, in the Visibly tab when editing the Floor Map.


ExpoFP features

QR Code Scanning:

  • Attendees can scan "You Are Here" QR codes placed around a venue to instantly see their current location on the floor plan directly within the mobile app.

  • The app uses ExpoFP’s logic to decode the QR code and identify the location.

  • The map view then highlights the corresponding location and centers the map on that spot for quick orientation.

Instant Exhibitor Profile Viewing:

  • Attendees can click directly on an exhibitor’s booth to instantly view the full exhibitor profile without leaving the map. They have access to:

    • Basic information and company description

    • Team members present at the event

    • Available meeting slots

    • Associated items and products

    • Sponsored sessions and program participation

Booth-to-Booth Wayfinding:

  • ExpoFP's wayfinding feature can guide users from one booth to another directly from the event’s web app.


Redirecting to the ExpoFP Floor Plan

Redirecting from Sessions

Redirecting sessions to a map helps participants easily find where a session is located. A "See on map" button will be available on the session details page, opening the map directly to the correct location.

Steps to Set Up:

  1. Create a Custom Field: Go to your session settings and create a custom single-choice field named "ExpoFP" (the field name must be exactly "ExpoFP").

  2. Populate the ExpoFP custom field: For each session, add the same value found in the default location field to the ExpoFP field.

    You can do this in bulk by following these steps:

    • Export the existing session list.

    • Copy the data from the Location field and paste it into the ExpoFP field.

    • Reimport the updated file.

  3. Ensure Location Consistency: Each location in the ExpoFP field must match exactly with the name of the Point of Interest (POI) in ExpoFP. The names must be identical for the map redirection to work properly.

Note: The custom field "ExpoFP" will not be visible in the session details since its value is already shown via the location field.

Redirecting from Meetings

Redirecting meetings to a map helps participants easily find where a meeting is taking place.

Make sure that you created all locations and include the corresponding location when creating the meetings. Your attendees will also be able to access the map when creating their meeting and defining a location.


How to generate a printable QR Code for floor plan navigation

Providing a QR code onsite helps attendees easily locate themselves within the event space, enhancing their overall experience.

When attendees scan the QR code (labeled, for example, "Find Your Location on the Floor Plan" or "Where Am I?") they will be redirected to the floor plan with their position highlighted. If they have the mobile app installed, the floor plan will open within the app; otherwise, it will open in their mobile browser. Ensure that the floor plan page is accessible to Guests for seamless access.

To ensure the QR code correctly redirects attendees to the floor plan at the right location, use the following URL format:

https://{APP_DOMAIN}/event/{eventSlug}/maps/{viewId}?initialExternalId={locationId}

Parameter Breakdown:

  • APP_DOMAIN – Default is app.swapcard.com, but it may vary if you have a branded app or a white-label domain.

  • eventSlug – The unique identifier for your event, found below your event name in the General Information section of Studio.

  • viewId – The ID of the Floor Plan page for your event, available in Studio within the Floor Plan page settings.

  • locationId – The ID of the specific location to be highlighted on the floor plan, found in Studio under the location’s settings.

Make sure to replace these placeholders with the correct values from your event settings before generating the QR code.


How to use Indoor Positioning for ExpoFP

Indoor Positioning enhances navigation by showing a live location indicator on the map. Geofencing allows sending notifications to attendees based on their location within the venue, which is excellent for engagement and potential monetization (e.g., sending specific communication when attendees are close to main exhibitor booths).

  • Indoor positioning only works if you are using an ExpoFP floor map.

  • This feature requires the Indoor Positioning add-on and can be provided by partners like Crowd Connected and IndoorAtlas. They also offer other features such as Heatmap.

How to set up Crowd Connected (if applicable):

  1. Go to Pages & Menu in the Event Builder section.

  2. Edit your Floor Plan button (that you've previously implemented).

  3. At the bottom of the Data tab, click on Enable indoor positioning, and fill your Crowd Connected's Appkey, Token, and Secret.
